Understanding Google Business Profile Roles

Before adding someone, it helps to understand the three access levels Google offers. The Primary Owner has full control including the ability to delete the profile — there can only be one. An Owner has nearly identical access and can add or remove other users. A Manager can edit business information, respond to reviews, add photos, and manage posts, but cannot add or remove users. For most agencies or employees, Manager access is the appropriate level to assign.

The 7-Day Waiting Period

After accepting an invitation, new owners and managers must wait 7 days before they can manage all profile features. During this period they may encounter errors when attempting certain actions. This is a standard Google security measure and resolves automatically after the waiting period ends.

Common Issues When Adding a Manager

If the invited person does not receive the email, ask them to check their spam folder or confirm they are checking the correct Google account inbox. If the profile does not appear when selecting a business after sign-in, verify that you are logged into the account that has Owner access — Manager access does not allow adding other users. If you have lost access to the account that owns the profile, ownership recovery may be needed before a new manager can be added.

When to Review Your Profile Access

It is good practice to periodically review who has access to your Google Business Profile. Former employees, past agencies, or outdated accounts with Owner or Manager access can create security and management risks. Removing access from users who no longer need it keeps your profile secure and reduces the chance of unauthorized changes.
